This guide is aimed at helping Teamflect administrators configure 1-1 meeting Check-in templates.

1‑on‑1 check‑ins help you keep conversations structured, intentional, and focused on progress and development. In Teamflect, you can enable automated check‑in reminders for your 1‑on‑1 meetings so participants are prompted to prepare updates, add talking points, or capture outcomes ahead of time.

This guide walks you through turning on check‑ins, choosing reminder timing, and adjusting settings to fit your team’s rhythm — helping you make the most of every meeting.

Follow the steps below to create or edit a 1-on-1 Check-in template:

1. Access the Meetings Module

Go to the Admin Center at admin.teamflect.com and click on the Meetings module in the left-hand menu.

2. In the “Check-ins” section, toggle “Enable check-ins in 1-on-1 meetings” to ON.

3. Open Check-in Template Configuration

Click the "Configure meeting check-in templates" button at the top of the page.

4. Add or Edit a Template

  • To create a new template: Click "Add New Check-in Template".

  • To update an existing template: Click "Edit" next to the relevant template.

5. Customize Template Content

Each template can be customized using various question types. You can:

  • Name and describe your template

  • Add descriptions to individual questions

  • Mix and match different formats:

✅ Question Types Available:

  • Freeform Text: Open-ended feedback

  • Multiple Choice: Allow single/multiple selections, add follow-up comment fields

  • Rating: Customize the rating scale and add optional comment fields

  • Ranking: Let users prioritize items in order of importance

This level of flexibility allows admins to align templates with coaching frameworks, wellness checklists, or quarterly focus points.

6. Deploy the Template

Once you’ve finalized your questions, click "Create". Your check-in template will be available in the Meetings module when a user adds a check-in to their 1-on-1 meeting.

User Experience in Meetings

Once a check-in template is available, users will:

  • See previous check-ins on their meeting pages.

  • Be able to select a template and add check-ins to their 1-on-1 meeting with a single click.

  • Answer the questions in real time and use the results to fuel discussion.

HR-Focused Use Cases:

  1. Managerial Coaching Use custom check-ins to create structured prompts for reflection, learning, and performance calibration between managers and team members.

  2. Pulse Feedback Set up recurring sentiment or engagement check-ins to assess employee morale and workload trends.

  3. Onboarding Progress Include onboarding-specific check-ins for new hires to guide 1-on-1 conversations during their ramp-up period.

Final Thoughts

1-on-1 Check-ins turn passive status updates into valuable coaching opportunities. By enabling and configuring check-in templates, you give your managers and team members a clear framework to align, support, and grow together—meeting by meeting.
