How to Create a 1-on-1 Meeting in Teamflect

Create 1-on-1 meetings directly in Teamflect or sync them from Outlook automatically.

Written by Myka

Teamflect seamlessly integrates with Microsoft Outlook and Microsoft Teams, automatically syncing your one-on-one meetings with two participants so they appear in the Meetings module. While you can schedule meetings directly from Outlook or Teams, creating them in Teamflect offers additional benefits, such as smart scheduling options and built-in meeting preparation features, helping you get more out of every one-on-one conversation.

How to Create a 1-on-1 Meeting in Teamflect

Option 1: Use the “New 1-on-1” Button

You’ll find this option in two places:

  • On your My Team page

  • On any individual User Profile page

Click “New 1-on-1” to open the scheduling window.

Option 2: Choose Meeting Type

In the pop-up window, select one of two meeting types:

Scheduled 1-on-1

  • Syncs with your Outlook calendar

  • Shows mutual availability

  • Adds the meeting to both Teamflect and Outlook

Instant 1-on-1:

  • Starts immediately

  • Not synced to Outlook

🧭 Tip: Choose Scheduled for recurring check-ins and reviews; use Instant for urgent coaching conversations.

HR-Focused Use Cases

1. Streamlined Scheduling for Managers

See direct reports' availability in one place without toggling between calendars.

2. Consistent Coaching Culture

Encourage managers to prep ahead by entering goals or development topics during scheduling.

3. Simplified Onboarding or Probation Check-Ins

Easily create recurring 1-on-1s with new hires, complete with pre-filled resources or templates.

Final Thoughts

While Teamflect automatically syncs Outlook calendar data, scheduling 1-on-1s directly within the app unlocks additional benefits like real-time availability and talking point prep. For managers and employees alike, this helps ensure meetings are structured, consistent, and actionable from the start.

Encourage new users to try the in-app “New 1-on-1” flow to get the most from their first few meetings.
