How Does Teamflect Identify Your 1-on-1 Meetings?

When you log into Teamflect for the first time, you're asked to grant permission to access your Microsoft Outlook calendar. Once permission is granted, Teamflect automatically begins scanning your calendar data.

Identification Logic

Teamflect classifies any meeting with exactly two participants as a 1-on-1 meeting. It doesn’t matter if the other participant is your direct report, manager, or a colleague — as long as it’s a two-person meeting, Teamflect will list it as a 1-on-1.

Where Can You View 1-on-1 Meetings in Teamflect?

Option 1: Homepage

On your homepage, you'll find the “My upcoming meetings” section — a central hub that lists all your scheduled meetings for the day, including:

  • 1-on-1s

  • Group meetings

  • Status updates

For each 1-on-1 listed, Teamflect shows the number of talking points prepared. This makes it easy to prepare and track readiness.

Option 2: My Team Tab

On the “My Team” tab, you’ll get a manager-focused view where you can:

  • See your direct reports, mentors, and line reportees

  • View upcoming 1-on-1s (e.g., “1:1 with Joe”)

  • Identify team members who don’t have a 1-on-1 scheduled

  • Click “New 1-on-1” to initiate a meeting with a specific report

This tab is ideal for keeping track of engagement and coaching across your team.

Bonus: Add Focus People

Want to track meetings with someone outside your formal reporting structure?
Use the “Add Focus People” option to add peers or collaborators to your dashboard. This way, you can still track meetings, feedback, tasks, and notes for them.

HR-Focused Use Cases

  1. Performance Management Alignment
HR can track whether managers are meeting regularly with their direct reports — ensuring structured check-ins happen before performance reviews or talent assessments.

  2. Coaching and Development
L&D and HR teams can ensure mentors or coaches are maintaining regular 1-on-1s with their mentees, supporting personalized development plans.

  3. Employee Engagement Auditing
HR can identify gaps in 1-on-1 meeting frequency, helping to detect early warning signs of disengagement or management neglect across departments.

Final Thoughts

Teamflect's automatic 1-on-1 meeting detection ensures consistency in managerial conversations without manual logging. Whether you’re in HR monitoring engagement, a manager trying to stay on top of team alignment, or a coach mentoring across departments, this functionality creates structure, visibility, and accountability in your meeting culture.
