Admin Guide: How to Set Up an Employee Rewards Program in Teamflect

Set up rewards, choose between manual or automated delivery, and understand the full redemption flow

Overview

Teamflect allows you to run a point-based rewards program where:

  • Employees earn points by receiving recognition badges

  • Points accumulate in their balance

  • Points can be redeemed for rewards

There are two ways to manage rewards:

Understanding the Rewards System

Teamflect’s rewards program is built on a point-based recognition system, where:

  • Employees earn points through recognition badges

  • Points accumulate in their balance

  • Points can be redeemed for rewards from a catalog

1) Manual Rewards

Admins are responsible for delivering the reward after approval.

Use this if:

  • You want to send rewards manually (codes, gifts, etc.)

  • You don’t need automation

How It Works

  1. Admin configures rewards

  2. Employee submits reward request

  3. Admin reviews the request

  4. Admin approves and manually delivers reward (e.g., gift code)

Step 1: Access the Admin Center

  • Navigate to admin.teamflect.com

  • Go to Modules → Recognitions

Step 2: Enable Rewards

  • Toggle Enable Rewards to activate the feature

Step 3: Configure the Rewards Page

1. Add a custom message introducing the rewards program

  • Use the ''Edit reward page message'' section to add a message that introduces the rewards program to your employees. Explain how points are earned and what they can be redeemed for.

Step 4: Create and Manage Rewards


Under Manage Rewards, you can create as many rewards as needed with different categories.

Click ''Create New Reward'' here.

1. Reward Type:

Select Manual Reward

  1. Type a reward title

  2. Upload a picture

  3. Enter description

Then,

4. Optionally, enter a Category (e.g., Gift Cards, Experiences)

5. Required point value

6. Reward Visibility

Reward Visibility

Control who can see and redeem each reward:

  • Everyone
    The reward is visible to all Teamflect users in the Rewards tab under the Recognitions module.

  • Selected Users or Microsoft Teams Groups
    Limit visibility to specific users or Teams groups.
    👉 Recommended for testing your rewards program before rolling it out company-wide.

  • Filter Users by Attributes
    Show rewards only to users who match specific attributes such as department, location, or job title.
    👉 Ideal for targeted reward programs (e.g., region-specific or role-based rewards).

This allows you to build a fully customized rewards catalog aligned with your company culture and budget.

Step 5: Manage Redemption Requests

The employee will select a reward and click ''Request Reward.''

As an admin, you’ll receive a notification via email, Teams, and in the app when a redemption is made by an employee.

After the employee requests a reward with their earned recognition points, you'll have to:

  • Go to See/Approve Reward Requests

  • Review:

    • Open requests

    • Approved

    • Rejected

When approving:

  • You can add a note (e.g., coupon code)

  • This is sent to the employee
