Overview
Admins can refine the Meetings module in Teamflect by filtering 1-on-1 meetings based on keywords in the meeting title. This helps exclude irrelevant calendar entries and ensures the focus remains on performance, development, and coaching conversations.
Note: This filter applies only to 1-on-1 meetings and does not affect group meetings.
Step-by-Step: Enabling Keyword-Based Meeting Filters
Step 1: Access the Meeting Settings
Locate the setting titled:
“Filter 1-on-1 meetings by keywords in meeting title”
Here you can see the "Filter 1-on-1 meetings by keywords in meeting title" button.
Step 2: Activate the Keyword Filter
Toggle the switch to enable the feature
Click “Edit keywords” to manage the list of allowed keywords
Step 3: Add Keywords
In the keyword editor:
Click “Add New Keyword”
Type the keyword that should trigger inclusion (examples: “Check-in”, “1:1”, “Coaching”, “Sync”).
Click “Save” after adding your list
✅ Once saved, only 1-on-1 meetings containing at least one of these keywords in the title will appear in users’ Teamflect calendars.
✅ End-users will see a tooltip in the Meetings module explaining which keywords are being applied.

HR Use Cases
1. Maintain Focus on Development-Oriented Conversations
Filter out administrative or irrelevant 1-on-1s (e.g., “IT Access”, “Office Tour”) and show only those with titles like “Growth Plan” or “Feedback Session” — ensuring performance discussions are prioritized.
2. Standardize Meeting Naming Across the Org
Encourage consistency by defining clear keyword patterns (e.g., “1:1 Weekly”, “Mentoring”) that will be recognized and shown in Teamflect — helping HR monitor engagement quality.
3. Enable Audit-Ready Visibility for HR Reviews
Surface only those meetings that align with employee development frameworks, making it easier for HR to validate whether managers are conducting meaningful 1-on-1s.
