If you’re a Teamflect administrator, you can control whether managers in a user’s reporting line can see notes written about their direct reports.
This setting applies to:
Stand-alone notes created in the Notes module
Notes taken during meetings
Important note about private notes
If Public (Shared) is selected, private notes are not visible to managers.
Private notes are only visible to managers if the Public & Private option is enabled.
See here for more details.
How to configure manager access to notes
Step 1: Open the Admin Center
Click Admin in the top-right corner of Teamflect and select Admin Center.
Step 2: Go to the Notes module
Find "Modules" on the left navigation bar and click the "Notes" tab.
Step 3: Choose what managers can see
Here you can see the "Select manager's access to direct reports' notes" button.
Select one of the following options:
Public (Shared)
Managers can see shared notes taken about their direct reports. Private notes are not visible.Public & Private
Managers can see both shared and private notes taken about their direct reports.None
Managers cannot see any notes—shared or private—about their direct reports.
Step 4: Viewing notes as a manager
If Public & Private is enabled, managers viewing notes about a direct report will see an option to include all notes.
When this option is selected, managers can view:
Shared notes taken by others
Private notes (if allowed by the admin setting)
If manager access is set to Public or None, this option will not appear.
Best-practice recommendation
Before enabling Public & Private visibility, consider your organization’s privacy expectations.
Managers gain full context, but private notes may include sensitive observations.
💡 Tip: Encourage users to hover over the tooltip while creating a note. It clearly shows who can see the note based on current admin settings and helps prevent accidental oversharing.
