If you have access to the Teamflect Admin Center, you can control whether administrators can view notes written about a user, and which types of notes they can access.
This setting applies to all notes, including:
Stand-alone notes created in the Notes module
Notes taken during meetings
⚠️ This setting controls admin visibility, not manager (reporting line) visibility. Manager visibility is configured separately.
How admin access to notes works
Admins can be allowed to view:
Shared (Public) notes only
Both shared and private notes
No notes at all
When admin access is enabled, administrators can optionally include notes written by other users when reviewing notes related to a specific person.
How to configure admin access to user notes
Step 1: Open the Admin Center
Click Admin in the top-right corner of Teamflect, then select Admin Center.
Step 2: Navigate to the Notes module
From the left-hand navigation, select Modules, then click Notes.
Step 3: Choose admin note visibility
Locate the setting “Select Teamflect Administrators’ access to user notes” and choose which notes admins are allowed to see:
Shared (Public) notes only
Public & Private notes
None
Step 4: Viewing notes as an admin
If admin access is enabled and an admin opens notes related to a specific user, they will see an option to include other people’s notes about that user.
When this option is checked, admins can view notes written by others about the same user.
If Public & Private is enabled, private notes will also be included.
If this setting is disabled, the option will not appear.
Disabling admin access removes this option entirely.
How this differs from manager (reporting line) visibility
Admin access is not the same as manager visibility.
Admins are governed by the Notes module settings in the Admin Center.
Managers (your reporting line) see notes based on a separate visibility configuration, which determines whether they can see:
Shared notes only
Both shared and private notes
Or no notes at all
To avoid confusion, always review both settings when defining your organization’s note-visibility rules.

Best-practice recommendation
Before assuming who can see a note, hover over the tooltip while creating it.
The tooltip clearly shows:
Whether the note is shared or private
Who can see it based on your organization’s current admin and manager settings
This is the safest way to prevent accidental oversharing—especially for sensitive notes.
