In Teamflect, notes can be saved as shared or private, and your organization’s admins decide what managers are allowed to see.
By default, notes are saved as shared unless you explicitly select the “Private” option while creating the note. These visibility rules may apply to both:
Stand-alone notes created in the Notes module (about yourself or others)
Notes taken during meetings
Admins can configure manager visibility to allow access to:
Public (Shared) notes only
Both public (shared) and private notes
Or no notes at all
This ensures note visibility aligns with your organization’s privacy and feedback culture.
How note privacy works
When creating a note, you choose whether it’s shared or private.
If you do not select the Private checkbox, the note is saved as shared
If you do select Private, the note follows private visibility rules
To avoid confusion, you can always hover over the tooltip on the note-taking screen. It clearly shows who can view the note based on:
Your note’s privacy setting
Your organization’s admin configuration
What your reporting line can see (based on admin settings)
If Public (Shared) is selected
Managers in your and the subject's reporting line can see:
Shared notes taken during meetings
Shared notes created in the Notes module (about yourself or others)
Private notes taken in the Notes module or in a meeting are not visible.
If None is selected
Managers in your and the subject's reporting line cannot see any notes, including:
Private notes (from meetings or the Notes module)
Shared notes (from meetings or the Notes module)
This provides full separation between notes and managerial visibility. Your manager can see none of your notes.
If Public & Private is selected
Managers in your and the subject's reporting line can see:
Shared notes from meetings and the Notes module
Private notes from meetings and the Notes module
This is full note visibility.
Best-practice recommendation
Before using private notes, always check the tooltip.
Admin settings may differ by organization, and the tooltip is the most reliable way to confirm who will see your note. This prevents accidental oversharing—especially in sensitive situations.
