Teamflect Administrator Roles Explained: Permissions, Access Levels & Admin Management

Explore Teamflect's admin roles, Global Admin, Scoped Admin, Configuration Editor, and Report Reader, and learn how to assign them.

Written by Myka

Teamflect offers multiple administrator roles so organizations can delegate responsibilities without giving every admin full access to all company data.

Depending on what someone needs to manage: reports, configurations, surveys, reviews, users, or department-level administration, you can assign different permission levels in Teamflect.

Best Practices for Administrator Management

Limit Global Administrator Access

Only assign Global Administrator access to users who genuinely require full organization-wide control. Make sure that you always have more than one global administrator.

Use Scoped Administration Whenever Possible

Scoped administration improves governance and data privacy by limiting access to specific employee groups.

Separate Configuration and Reporting Responsibilities

  • If someone only needs analytics access, assign the Report Reader role instead of broader administrative permissions.

  • If someone only needs to manage templates, general or module-specific settings, use the Configuration Editor role instead of Global Administrator access.

Review Permissions Regularly

As teams grow and responsibilities change, periodically review administrator permissions to ensure access remains accurate.

Frequently Asked Questions

What is the difference between a Global Administrator and a Scoped Administrator?

Global Administrators have unrestricted access across the entire Teamflect environment, including all users, reports, settings, and administrative permissions.

Scoped Administrators can only access and manage the users and data within their assigned scope, such as a department, country, or office location.

Can Scoped Administrators access data outside their scope?

No. Scoped Administrators can only view and manage the users and data included in their assigned scope.

For example, a Scoped Administrator limited to the Germany office cannot access employee data from other regions.

Can Scoped Administrators manage users?

Yes, if the relevant permission is enabled by a Global Administrator.

Scoped Administrator permissions can be customized depending on your organization’s needs.

Optional permissions include:

  • Adding or removing users

  • Editing user attributes

  • Starting reviews, surveys, and 360-degree feedback cycles

  • Changing organizational settings (module-specific settings)

Can Scoped Administrators change administrator roles?

No. Only Global Administrators can assign or modify Teamflect administrator roles.

Can multiple administrators exist in the same account?

Yes. Organizations can assign multiple administrators with different permission levels depending on responsibilities and access requirements.

Can I limit administrator access by department or country?

Yes. Scoped Administrators can be limited by:

  • Department

  • Country

  • Office Location

  • Coming soon: Other supported user attributes

This helps organizations manage access securely across different teams and regions.

What is the best role for HR Business Partners?

Scoped Administrator is typically the recommended role for HR Business Partners because it allows them to manage only the employee groups they are responsible for.

What is the difference between a Configuration Editor and a Report Reader?

Configuration Editors can manage almost all settings in the admin center and templates but cannot access employee data or reports.

Report Readers can access analytics and reporting dashboards but cannot modify settings or configurations.

Should every admin be a Global Administrator?

No. We recommend assigning Global Administrator access only to users who require full organization-wide control.

Using more limited roles such as Scoped Administrator, Configuration Editor, or Report Reader helps improve governance and data privacy.

Can Scoped Administrator permissions be customized?

Yes. Global Administrators can customize which capabilities Scoped Administrators receive within their assigned scopes.

Can administrators impersonate other users?

Only Global Administrators may have access to impersonation capabilities depending on organizational configuration.

Scoped Administrators cannot impersonate other users.

Do administrator roles affect regular manager capabilities?

No. Administrator roles are separate from manager capabilities.

Managers can still conduct meetings, manage goals, complete reviews, and perform other manager-related actions based on your organization’s Teamflect setup.

How often should administrator permissions be reviewed?

We recommend reviewing administrator permissions regularly, especially after organizational changes, restructuring, or role changes, to ensure access remains accurate and secure.
