Teamflect AI allows Professional plan customers to fine-tune AI-generated content by providing tailored company information. This ensures AI suggestions, such as feedback summaries, goal descriptions, and task descriptions, are more relevant to your organization.
Who Can Use This Feature?
Professional plan customers: Full access to the fine-tuning feature.
Essential and Starter plans: The button will appear disabled with a tooltip prompting upgrade: “Unlock with the Professional Plan.”
How to Fine-Tune Teamflect AI
Step 1: Navigate to the Teamflect AI Page
Go to the Teamflect AI settings located under General Settings in the Admin Center. A Fine-Tune AI button will be visible at the top of the page.
Professional users: Button is active.
Essential/Starter users: Button is disabled with an upgrade tooltip.
Step 2: Open the Fine-Tune Form
Click Fine-Tune AI to open a new form. Here you’ll be asked to provide company-specific details.
Step 3: Enter Company Details
1. Which industry does your company operate in?
2. Your company size
Select from the predefined ranges:
1–10
11–50
51–100
101–250
251–500
501–1,000
1,001–5,000
5,001–10,000
10,001–50,000
50,000+
3. What are your company's core values and cultural principles?
4. What is your organization's mission and vision?
5. What behaviors or achievements are typically recognized and rewarded in your organization?
6. Are there specific language preferences, terminologies, or tones that the AI should adopt to reflect your company's communication style?
Answer all the questions provided on the page to get better AI-generated outcomes in Teamflect.
Additional Context (Optional)
Click Add More Context to add fields for Title and Description.
You can add multiple context fields or remove them using the delete button.
Step 4: Save Your Changes
At the bottom of the page, use the sticky action bar to:
Save Changes → Updates your AI fine-tuning settings.
Discard Changes → Cancels without saving.
How Fine-Tuning Improves AI Output
Once company data is added, AI-generated outputs across Teamflect modules become more accurate and contextual. Examples include:
User summaries (more relevant to your industry and team size).
Goal descriptions (tailored to your sector and organizational priorities).
Feedback summaries (aligned with company culture and HR tone).
Task descriptions (better suited to your workflows).
Use Cases
1) Feedback summaries that match your industry & size
Where it shows: Feedback → AI summary
Why it helps: The AI uses your sector and company size to choose relevant language and context.
Example:
Before: “Improve documentation quality.”
After (Healthcare, 251–500): “Improve patient-facing documentation quality by adopting our plain-language standard and validating updates with clinical leads.”
Best practice: Keep your values/tone in “Add more context” (e.g., “coaching-first”, “regulatory-aware”) so summaries mirror your culture.
2) Goal descriptions with sector-appropriate metrics
Where it shows: Goals → AI description
Why it helps: AI selects metrics that make sense for your field and scale.
Example:
Before: “Increase customer satisfaction.”
After (SaaS, 101–250): “Raise NPS from 38→45 by Q4 through faster ticket resolution (<12h P1 SLA) and quarterly VOC reviews.”
Best practice: In “Add more context,” list 2–3 KPIs you actually use (NPS, time-to-fill, OEE, CSAT) to anchor AI suggestions.
3) Task descriptions tailored to how your teams work
Where it shows: Tasks → AI description
Why it helps: Task phrasing matches your workflows and compliance needs based on sector/size.
Example:
Before: “Create onboarding checklist.”
After (Manufacturing, 501–1,000): “Create role-specific onboarding checklist incl. safety briefing, PPE fit test, and ISO 9001 orientation—due before first shift.”
Best practice: Add a short note in context like “ISO 9001 shop floor” or “SOC 2 controls,” so AI bakes in the right steps.
4) User summaries aligned to your competency model
Where it shows: People/User profile → AI summary
Why it helps: Summaries reflect your competencies/values and sector norms.
Example:
Before: “Strong collaborator.”
After (Professional Services, 11–50): “Demonstrates ‘Client Obsession’ and ‘Ownership’—leads cross-practice handoffs, reduces rework by documenting SOW risks early.”
Best practice: In “Add more context,” list 3–5 core competencies (e.g., Client Obsession, Safety, Data Integrity) for consistent phrasing.
