Where Teamflect AI Agent Can Be Used

Once enabled, users can access Teamflect AI through:

💬 Teamflect Chatbot in Microsoft Teams: chat naturally with AI directly in Teams

⚙️ Microsoft Copilot: by adding Teamflect Agent as a plugin to Copilot

🧠 Teamflect app: via the “Ask AI” button on the right-hand side of the app

How Teamflect AI Learns From Your Company Data

  • AI Agent refers to the documents uploaded to your Intranet in Teamflect; however, you can also upload your internal documents that were not uploaded to your Intranet in Teamflect by clicking the ''Upload documents'' button shown below:

  • The Teamflect AI Agent uses your company’s internal content to provide accurate, policy-aware responses.

  • It scans materials uploaded to the Intranet section of Teamflect and uses them to power answers inside both Teamflect and Microsoft Copilot.

  • Admins can upload internal documents directly to the Teamflect AI knowledge base, allowing the assistant to use this content when answering questions.

  • This ensures employees receive consistent, verified information: whether they’re chatting in Teamflect or Copilot.


Managing Document Access

Admins control what documents AI can access to provide accurate answers to employees on company or policy-related questions.

To manage content:

  1. Go to Admin Center → Teamflect AI → Knowledge Base.

  2. Next to each document, toggle the button to enable the document for AI.

  3. Only toggled-on documents will be used by Teamflect AI and Copilot.

What AI Can Answer

Users can now ask questions like:

  • ''What’s our hybrid work policy?''

  • ''How do I submit my quarterly review?''

  • ''What is our annual goal-setting deadline?''

  • ''What’s the process for requesting parental leave?''

And they’ll get answers directly inside Microsoft Copilot or Teamflect’s Ask AI interface, sourced from your verified internal content.


Best Practices

  • Keep document titles meaningful: AI uses them as context.

  • Review content regularly to avoid outdated answers.

  • Separate draft and published files clearly.

  • Make sure key HR, review, and goal-setting policies are uploaded and toggled on.
