How to Summarize Employee Feedback with AI

Teamflect's AI turns multiple feedback entries into one summary. See how to run it, what data it reads, and why every summary still needs a human review.

What Is an AI Feedback Summary?

Summarizing feedback with AI means letting a model read several feedback entries at once and return the recurring themes in a few sentences. In Teamflect, the "Summarize with AI" button does this for the entries you select. A manager reviewing a team member, or anyone reviewing their own received feedback.

In this article, we’ll walk through two ways to use this feature.

Summarizing Feedback Received by an Employee

In many cases, employees receive feedback from multiple coworkers, managers, or direct reports, and it can be time-consuming for a manager or admin to review each entry in detail. The 'Summarize with AI' feature simplifies this process by providing a concise overview of all feedback, saving time and highlighting key insights at a glance.

Step 1: Go to the ''My Team'' Tab

Option 1: Go to your homepage and click on the "My Team" section. Then select the relevant team member and open their profile.

Option 2: If your organization has enabled the User Search feature in the Admin Center, you can also use the search bar in the sidebar to find and select a team member quickly.

Step 2: Click ''Summarize with AI''

Scroll to the Feedback section. Click the “Summarize with AI” button.

Step 3: Adjust Filters

Adjust the date range, filter by feedback templates if needed, and choose which entries to include or exclude.

Click "Summarize" to generate a summary of the selected feedback entries.

Note: You can always go back and adjust the settings to ensure that everything's in the right place.

Always Review the Summary Before You Use It

An AI summary is a draft, not a record: read it against the original entries before you quote it in a review, a one-on-one, or any decision about someone's work.

  • The summary only covers what you selected. If the date range or the template filter left entries out, the themes shift with them. Open the filters again and confirm what was included before you rely on the result.

  • Check the summary against two or three original entries. Summaries smooth over outliers, and in feedback the outlier is often the most useful thing in the set.

  • Keep the original entries as the record. In a review, quote the person's own words; use the summary to find them, not to replace them.

  • A summary carries the balance of the feedback it read. It does not add slant on its own, and it does not remove slant that was already there.

Summarizing Feedback You’ve Received

If you want to better understand patterns in the feedback you’ve received, you can create a personal summary using the same tool.

Step 1: Feedback > Received

Open the Feedback module and click on the Received tab.

Select “Summarize with AI.”

Step 2: Adjust Date Range & Templates to Include

Choose the date range and entries you'd like to include.

Step 3: Summarize

Click “Summarize” to generate your personalized summary.

Note: You can always go back and adjust the settings to ensure that everything's in the right place.

Use Cases for Summarizing Feedback with AI

  1. Identify recurring strengths and growth areas
    Understand common themes in feedback across time to guide your next steps.

  2. Prepare for upcoming 1:1 meetings or team check-ins
    Use summaries to quickly get up to speed on recent feedback before performance discussions.

  3. Gain visibility across distributed teams
    For managers overseeing remote or cross-functional teams, summaries help surface insights without reading every comment in detail.

What the AI Reads, and What Happens to It

The summary is built from the feedback entries you select, the date range and
template filters you set on the Summarize screen decide exactly what the AI
reads.

  • Teamflect uses OpenAI services hosted on Microsoft Azure.

  • Your feedback is not used to train the model. Teamflect does not use customer inputs to train or fine-tune AI models.

  • AI services run in regional Azure data centers, and data is transmitted over HTTPS with TLS 1.3.

  • An administrator can switch every AI feature off for the whole organization with the master AI toggle in the Admin Center.

  • Is "Summarize Feedback with AI" available on every plan, or is it a Professional-plan feature?

It's available in all subscription plans.

  • Can the generated summary be edited, and who else can see it?

The generated summary cannot be edited in Teamflect, however, you can edit the copied entry afterwards before using it somewhere else. Only admins and managers can summarize feedback with AI received on Teamflect users.
