How Can I Add Non-Microsoft Users to Teamflect?

Learn how to add, manage, and sign in non-Microsoft users in Teamflect.

Written by Sue

Teamflect allows you to add users who don't have a Microsoft 365 account. These users can access Teamflect with a Teamflect username or a non-Microsoft email address and password.

This article explains how to enable and add non-Microsoft users to Teamflect.

Enable non-Microsoft users

Before adding non-Microsoft users, you need to enable the setting in Teamflect.

  1. Go to Settings.

  2. Select General Settings.

  3. Enable Allow users without a Microsoft 365 account.

Note: The Who can access Teamflect setting must be set to Manually select for non-Microsoft users to work. Non-Microsoft users are managed manually in Teamflect and are not included in Microsoft 365 user synchronization.

Add a non-Microsoft user

Once the setting is enabled, you can add non-Microsoft users from the Teamflect Admin Center.

  1. Go to the Teamflect Admin Center.

  2. Select Users and go to Active Users.

  3. Select Add Users and then choose Non-Microsoft user.

  4. Enter the user's Display name.

  5. Enter a Username or Email address.

  6. Select Confirm.

If you don't enter a username, Teamflect automatically generates one when an email address is provided.

The user receives a temporary password and must create a new password when signing in for the first time.

Note: We recommend adding an email address whenever possible. This allows Teamflect to send login details and other notifications to the user.

Note: If you add the user with a username, the temporary password is displayed to the admin who creates the account. You can share the login credentials with the user directly. If an email address is provided, you can also choose to send the credentials to the user by email.

Add non-Microsoft users in bulk

If you want to add multiple non-Microsoft users at once, you can use the bulk upload option.

  1. In Active Users, select Bulk Upload/Update User Attributes.

  2. Download the user upload template.

  3. Open the Non-Microsoft Users worksheet.

  4. Add the users you want to create or update.

  5. Upload the completed file.

  6. Review the validation results and select Confirm.

Note: The Display Name field is required. Username, Email, and Manager are optional.

How can non-Microsoft users sign in?

Non-Microsoft users can access Teamflect through a web browser.

  1. Select Sign in here under Have an existing Teamflect account with username or non-Microsoft email?

  2. Enter the Teamflect username or non-Microsoft email address.

  3. Enter the temporary password provided by the administrator.

  4. Create a new password when prompted.

What features are unavailable to non-Microsoft users?

Because non-Microsoft users don't have a Microsoft 365 account, some Microsoft-connected Teamflect features aren't available to them.

These include features that require Microsoft Graph, such as:

  • Microsoft To Do synchronization

  • Microsoft presence

  • Microsoft Planner, Power BI, and Power Automate integrations

  • Microsoft 365 Groups

  • Microsoft Teams and Outlook integrations that require a Microsoft account

Non-Microsoft users can still use the main Teamflect experience and features that don't require a Microsoft 365 account.

How can I remove non-Microsoft users?

You can remove a non-Microsoft user from Active Users, just like any other Teamflect user.

  1. Find the non-Microsoft user you want to remove.

  2. Select the trash icon next to the user.

  3. Confirm the deletion.

Use cases

  • External or frontline employees: Give employees who don't have Microsoft 365 accounts access to Teamflect for performance reviews, surveys, goals, and other HR processes.

  • Contractors and temporary workers: Allow contractors or temporary employees to participate in Teamflect processes without providing them with a Microsoft 365 account.

  • Organizations with mixed user environments: Manage employees with and without Microsoft 365 accounts in the same Teamflect environment.

  • Partners or other external participants: Give selected external users access to relevant Teamflect processes while keeping their accounts separate from your Microsoft 365 users.
