Policy Assistant helps employees find answers to questions about your company’s policies without manually searching through documents. It searches the policy documents uploaded to your Teamflect environment and provides an answer based on the information it finds.
Each answer also includes a Learn More section with a link to the source document, so users can review the policy themselves.
How to Enable the Teamflect AI Agent
The Teamflect AI Agent can help your employees get answers and support using AI. As an admin, you can choose who can use the AI Agent and customize the notification they receive when access is enabled.
Sign in to the Teamflect Admin Center: https://admin.teamflect.com/
From the left-hand menu, select Teamflect AI.
Click AI Agent.
Turn on Enable AI Agent.
After enabling the AI Agent, choose who in your organization can use it. You have three options:
Everyone in the company, excluding guest users — Gives access to all regular employees in your company. Guest users, such as external users or people invited from outside your organization, will not have access.
Selected users — Lets you choose specific employees who should have access to the AI Agent.
Filter users by attributes — Lets you give access to users based on specific employee attributes or criteria, so you don't need to select each person individually.
Choose the option that best fits your organization's needs.
You can also choose whether users should receive a notification when they are given access to the AI Agent.
Turn on the access notification option if you want users to be notified.
Customize the notification message to explain that they now have access to the AI Agent.
Click Save to apply your settings.
Your Teamflect AI Agent is now enabled and available to the users you selected.
How Policy Assistant Works
Policy Assistant answers questions using your company’s uploaded policy documents.
Ask a Policy Question
Employees can ask questions such as:
How many vacation days do I get?
What are the rules for working remotely?
What expenses can I claim?
Get an Answer Based on Your Documents
Policy Assistant searches the policy documents uploaded by your organization and uses the relevant information it finds to answer the question in its own words.
If no relevant information is found, Policy Assistant will say so rather than guessing.
Review the Source Document
Every answer includes a Learn More section with a link to the source document.
Employees can use this link to review the original policy and verify the information provided.
Important Things to Know
Policy Assistant Only Uses Uploaded Documents
Policy Assistant can only answer questions based on documents that have been uploaded to your company’s environment.
If no relevant policy documents have been uploaded, Policy Assistant cannot provide an answer based on those policies.
Company Documents Are Kept Separate
Policy Assistant searches your company’s own uploaded documents. One company’s documents are not used when answering questions for another company.
Answers Include the Source
Policy Assistant provides a source document link with its answers so users can check the original policy.

Employee Handbook
HR teams can upload the employee handbook so employees can find answers to common workplace policy questions without manually searching through the document.

Keep your company policy documents up to date and make sure the documents employees need are uploaded to Teamflect. This helps Policy Assistant provide useful answers and gives employees access to the relevant source documents.
