In Teamflect, reviews go through a structured workflow to ensure feedback is properly discussed, documented, and finalized. Depending on your organization’s configuration, finalization can be done in two ways:
Release & Finalize → closes the review without requiring a signature.
Release & Send for Signature → initiates a digital signature process for added confirmation.
Once a review is finalized (with or without signature), answers and results are locked and no longer editable.
This article explains what each of these actions does, when you might use them, and how they affect visibility, editing rights, and next steps in your performance cycle.
What Happens After "Release & Finalize"?
If signatures are not required, the reviewer can finalize the review by clicking Release & Finalize.
Once finalized:
The review is locked and cannot be edited.
Results are stored in the system.
The reviewee is notified via the Teamflect chatbot.
What Happens After "Release & Send for Signature"?
If signatures are required, the reviewer clicks Release & Send for Signature.
Once the review has been sent for signature, it will no longer be editable.
Signatures may be sequential (reviewee first or reviewer first) or in no particular order.
Once all required signatures are collected:
The review is moved to the Finalized stage.
It is securely recorded and cannot be edited further.
Key Notes:
Reviewees cannot finalize reviews. Only reviewers or admins can finalize a review cycle.
Reviewees will receive a notification card from the Teamflect chatbot once a review is finalized.
HR Use Cases
1. Compliance & Documentation
Finalizing with signatures creates an auditable record, ensuring the company is compliant with HR policies or industry standards.
2. Promotion & Career Progression
For promotions, managers can finalize reviews with signatures to formalize decisions and keep signed records in employee files.
3. Probation & Performance Management
Finalized reviews (with signatures if required) help confirm outcomes of probationary periods, performance improvement plans, or disciplinary steps.

The finalization stage ensures reviews are securely completed and recorded. Whether you finalize directly or require signatures, Teamflect provides flexibility to align with your organization’s HR practices. This process balances efficiency, compliance, and accountability while making sure employees are notified when their review is complete.
