Manager Recognition Reminder helps managers notice and recognize team members when they have not sent a recognition recently. When a manager meets the configured inactivity threshold, Teamflect sends them a reminder with up to three suggested team members and ready-to-review recognition cards.
The manager can review each suggestion, edit the message if needed, and click Send recognition. Nothing is sent automatically. The manager always makes the final decision.
When managers receive a reminder
Teamflect checks whether an eligible manager has recently sent a recognition. The default is once every three months, but admins can configure this frequency for their company.
Managers with at least one direct report are eligible for the reminder. When the configured criteria are met, the reminder is delivered through Microsoft Teams and the in-app bell icon.
How Teamflect selects recognition suggestions
Teamflect reviews approximately the previous 90 days of team activity and looks for team members with supporting evidence for recognition.
It can suggest up to three people. Teamflect also avoids suggesting people who were recognized very recently. If the available team data does not support a recognition, Teamflect does not create a suggestion.
How recognition cards are prepared
For each suggested team member, Teamflect prepares a recognition card that includes:
A badge from the company's recognition badge list
A recognition message based on the supporting activity
When there is more than one suggestion, the cards appear as a carousel, such as Recognition 1 of 3.
The manager can review the cards, edit the message, and send the recognition.
The manager always has the final click
Teamflect does not send the suggested recognitions automatically. A manager must click Send recognition for a recognition to be sent.
How Admins Configure the Reminder
Admins control the Manager Recognition Reminder settings for their company.
Available settings
Admins can configure:
How many days without a recognition trigger the reminder
The reminder schedule
Quiet hours
Whether reminders are limited to working days
The maximum number of reminders a person can receive per week
Teamflect also applies a cooldown so that managers are not repeatedly nudged about the same recognition opportunity.
HR Use Cases
Encourage consistent manager recognition
HR teams can use the reminder to help managers recognize contributions regularly instead of waiting for recognition activity to happen on its own.
Support recognition during performance cycles
During performance review periods, HR can use the reminder to encourage managers to acknowledge recent contributions supported by team activity.
Reinforce company values
If the company's recognition badges represent its values, managers can review suggested recognition cards and use the appropriate company badge when recognizing a team member. Admins can manage the organization's recognition badges in Teamflect.
Best Practice
Set the reminder frequency and quiet hours so managers receive prompts at appropriate times without creating unnecessary interruptions. Managers should always review the suggested recipient and message before sending, and edit the message when additional context would make the recognition more meaningful.
