Teamflect allows you to create and update multiple roles (job titles) in one go using an Excel file. This bulk upload feature helps you save time, reduce manual effort, and maintain a consistent organizational structure across your company.
Whether you're setting up your career framework for the first time or updating your existing roles, using Excel makes the process faster and more scalable.
1. Access the Roles (Job titles)
Navigate to the Admin Center: https://admin.teamflect.com/
Select the Career Module and then click on the Roles (Job titles).
2. Initiate Upload Roles:
Click on “Upload roles via Excel” to begin the process.
3. Download the Template:
In the pop-up window, click on “Download Template.” This template will contain any existing Roles (Job titles) in your account, which helps you update without needing to edit each one separately.
4. Fill in the Template
Open the Excel file and enter your role data. Each column represents a specific field you can define for your roles.
Use the table below to understand which fields are required and what each column represents:

Code | Auto | Do not modify. This field is auto-generated (e.g., ROLE1001). Leave blank when creating new roles. |
Name | Yes | The job title (e.g., Product Manager). Required for new roles. |
Description | No | A short description of the role. |
Role Level | No | Select from the dropdown. Must match a value in the Role Levels sheet. |
Role Category | No | Select from the dropdown. Must match a value in the Role Categories sheet. |
Employment Type | Yes | Select from the dropdown (e.g., Full Time, Part Time, Intern, Contract, Freelance, Volunteer). |
Unique Identifier | No | A short custom code for the role (e.g., PM, RM). |
Key Responsibilities | No | The main responsibilities or duties of the role. |
Salary Currency | Conditional | Select from the dropdown. Required if Salary Min or Salary Max is provided. |
Salary Min | No | Numeric value. Cannot be negative or greater than Salary Max. |
Salary Max | No | Numeric value. Cannot be negative and must be greater than or equal to Salary Min. |
Potential Next Roles | No | Enter comma-separated role codes of existing roles only (e.g., ROLE1001, ROLE1002). Newly added roles in this file cannot be referenced. |
Note: Please do not modify or reorder the column titles or add new ones.
5. Upload the Filled Template:
Back in the Roles(Job titles), click on “Choose the File” and select your saved document.
6. Start the Validation Process:
Click on “Start Validation.” The system will check your template for any errors.
If there are errors, the validation report will specify what needs to be corrected. Make the necessary adjustments and re-upload the file.
If there are no errors, the upload/update will proceed successfully
7. Confirmation
Once the upload is successful, your roles will be updated or uploaded to the system within a few seconds (depending on the document size), and you may close the pop-up by clicking ''Confirm'' and then ''Close.''
Your job titles are now uploaded and ready to use across Teamflect. You can assign competencies, build career paths, and align performance processes with your updated role structure.

1. Creating Roles in Bulk
Instead of adding roles one by one, you can upload all your job titles at once using the Excel template. This is especially useful when setting up your account for the first time.
2. Updating Existing Roles
You can make changes to multiple roles in one go by updating the Excel file and re-uploading it. This helps keep your role structure up to date with minimal effort.
