How to Set Up a Custom Email Domain in Teamflect

Customizing your email domain allows you to send Teamflect notifications using your company’s own domain (e.g., [email protected]), giving your communication a more professional and trusted appearance. This setup requires changes to your domain’s DNS records (SPF/DKIM).

We recommend involving your IT team to complete the process.

Step 1: Set Your Sender Details

  1. Go to Branding under your Admin Center.

  2. Select Configure custom domain:

In the Display name field, enter how you’d like your organization’s name to appear in recipients’ inboxes (e.g., Teamflect).

  3. In the Local part field, specify the prefix for your email address (e.g., notifier).

  4. Enter your company’s domain (e.g., teamflect.com).

  5. Click Save & continue to proceed.

📌 Example: If you set “Display name” as Teamflect, “Local part” as notifier, and “Domain” as teamflect.com, emails will appear as Teamflect [email protected].

Step 2: Verify Your Domain

After saving your details, Teamflect automatically creates your domain on Mailgun and retrieves the necessary DNS records (SPF and DKIM). You’ll now see these records displayed on the screen. Copy and paste them into your domain’s DNS settings.

  • Use the Copy buttons beside each record for convenience.

  • When copied successfully, a toaster message will appear: “Copied successfully.”

Once your records are added, return to Teamflect and click Verify.

  • If verification fails: “Verification failed. Please try again or review your DNS entries.”

  • Suppose verification succeeds: “Domain verified. You can now send test emails from your custom address and activate the domain.”

After successful verification:

  • The Verify button changes to Verified.

  • Send test email and Activate domain buttons become available.

Step 3: Send a Test Email

Once your domain is verified, you can send a test message to confirm the setup.

Test email content:

  • Subject: Test email from Teamflect custom domain

  • Body: This is a test message to confirm that your custom email domain is configured correctly in Teamflect.

When you click Send test email to yourself, you’ll see the toaster message: “Test mail sent to your email.”

Step 4: Activate Your Domain

After confirming the test email, click Activate domain.

A pop-up will appear showing the sender details you configured in Step 1.

  • Click Activate to confirm.

  • You’ll see the toaster message: “Activated. Teamflect is now sending from your custom domain.”

Once activated, the Activate domain button changes to Activated, and Teamflect will begin sending all notifications through your verified domain.

Step 5: Revert to Default Sender (Optional)

If you wish to stop using your custom domain, click Revert to default Teamflect sender. A confirmation pop-up will appear.

  • Click Revert to proceed.

  • You’ll see: “Reverted to the default Teamflect sender.”
Steps 2 and 3 will close, and you’ll return to the initial setup page.

Ensure all Teamflect notifications—such as reviews, feedback, or task reminders—come directly from your company’s trusted email address.

  2. Strengthen your brand identity
Maintain consistency across communications by using your corporate domain instead of a third-party address.

  3. Improve email deliverability and trust
Reduce the chances of emails being marked as spam and reassure employees that messages are authentic and secure.
