How to Set Up Your Team in Teamflect: Org Charts, Admin Tools, and More

Setting up your team in Teamflect ensures your organization’s structure, reporting lines, and manager relationships are accurately reflected across all modules — including Goals, Reviews, Feedback, and Recognition.

You can add your people to Teamflect in three main ways:

  • Via Microsoft Teams (Recommended): Automatically syncs your org chart from Microsoft 365.

  • Via the Admin Center: Allows admins to manually manage users and define reporting relationships.

  • Via the My Team Tab: Enables individual users to add their team members and collaborators manually.

Using the Microsoft Teams sync provides the most reliable and maintenance-free setup for company-wide consistency.

👥1. Load Your Organizational Chart into Microsoft Teams (Recommended)

The most efficient and accurate way to set up your team is to load your organizational chart into Microsoft Teams. Teamflect automatically imports this structure from Microsoft 365, ensuring manager relationships are consistent with your company directory.

✅ How to Check If Your Org Chart Is Available

  1. Open Microsoft Teams.

  2. Type a colleague’s name in the search bar.

  1. In their profile pane, click “View organization chart.”

  2. If you can view their hierarchy, your org chart is already active in Microsoft 365.

  • Click “View organization chart” in the panel

  • If visible, your org chart is already uploaded to Microsoft 365

➡️ Teamflect will automatically import this data, maintaining your organization’s reporting hierarchy.

💡 This is the recommended setup for accuracy and automation.

🛠️ 2. Manage Relationships in the Teamflect Admin Center

If you’re an Admin, you can view, add, or adjust manager–employee relationships directly in the Admin Center. This is ideal when your Microsoft 365 directory doesn’t include all reporting details or when you need to make exceptions.

Steps:

  1. Go to the Teamflect Admin Center.

  2. Navigate to Users →Active Users

3. In the Manager column, click the ✏️ icon or “Edit” to assign managers

4. You can override or confirm existing manager info pulled from Microsoft 365.

5. Use the search field to locate an employee and assign or update their manager.

6. Select Save to confirm changes.

You can override or confirm information imported from Microsoft 365. Once updated, both the manager and employee will be notified automatically.

📩 Tip: If you want to prevent automatic notifications, go to
https://admin.teamflect.com/#/settings/notificationsettings
and disable Relationship update notifications under Admin settings.

👤 3. Add People via the “My Team” Tab (Least Recommended)

Individual users can also manage their reporting relationships within the My Team tab in the Teamflect app. While flexible, this is not recommended as the primary setup method since it relies on manual input.

Steps:

  1. Go to the My Team tab from your Teamflect homepage.

  2. Scroll down and click “Invite your team” to add direct reports

3. Use the “Add Relationship” section to include other key contacts

🚨 This is the least recommended method as it relies on manual user input and may lead to inconsistencies.

Note: ⚙️ The available relationship types depend on your admin configuration at https://admin.teamflect.com/#/relationships.
Admins can customize which Relationship Types appear by clicking Manage Relationship Types in the top-right corner.

For the most seamless and error-free experience, maintain your organizational chart in Microsoft 365. Teamflect will automatically sync relationships, ensuring every module reflects accurate data. If adjustments are needed, the Admin Center offers a full-control interface to manage relationships. The My Team tab should be reserved for smaller teams or one-off additions. Keeping your relationships structure up-to-date ensures your organization operates efficiently across performance, feedback, and recognition workflows.
