How Can I Match Users Using Relationship Types as an Administrator?

Teamflect’s Relationships module enables HR teams and admins to define reporting or mentorship structures beyond the default manager–direct report setup. By configuring relationship types and enabling managerial access, you can grant visibility to project leads, mentors, and other dotted-line leaders.

This guide will walk you through setting up relationship types and matching users accordingly.

Step-by-step Guide:

1. Go to the Relationship Types Page

Navigate to the Admin Center: https://admin.teamflect.com
Then go to: ​Users > Relationships and click Manage Relationship Types

2. Edit or Create a Relationship Type

Find the type you'd like to update and click on Edit or create a new one by clicking + Add Relationship Type. You can customize:

  • Title and description

  • Participant labels (e.g., Mentor/Mentee)

  • Icon (default only)

  • Visibility (admin-only or public)

3. Grant Managerial Access (Optional)

While editing a relationship type, toggle on Managerial Access if the First Participant (e.g., Mentor, Coach, Project Lead) should have visibility into the private goals, feedback, and reviews of the Second Participant.

⚠️ Only enable this if the role truly requires data access. This mimics a manager’s visibility in Teamflect.

4. Create Relationships Between Users

Return to Users > Relationships and click + Add Relationship in the top-left.

In the pop-up:

  • Choose the appropriate Relationship Type

  • Enter the User Information accordingly

  • Click Save.

5. Confirm the Assignment

Once saved, the relationship will appear in the list.

ℹ️ Note on Traditional Manager Setup

To change a user's official Teamflect manager (used for performance review workflows), go to: ​https://admin.teamflect.com/#/users/activeusers

Edit the Manager field via the pencil icon next to the current manager.

HR Use Cases

  1. Mentorship Programs
    Establish formal mentor–mentee relationships with or without access to performance data.

  2. Matrix Organizations
    Use “Project Lead” or “Functional Leader” relationship types for cross-functional reporting.

  3. Succession Planning
    Tag successors or mentees for leadership pipelines with admin-only visibility.

The updated Relationships module empowers organizations to map complex structures and leadership dynamics without disrupting official reporting lines. Whether you're managing coaching networks, dotted-line managers, or talent pipelines, this feature ensures data visibility stays aligned with your operational needs.

By carefully configuring relationship types and permissions, HR leaders can extend Teamflect’s utility far beyond basic hierarchy.
