How does Teamflect - Microsoft To Do integration work and how can I enable/disable this functionality?

You can sync your Teamflect tasks with Microsoft To-Do and manage all your tasks in one place. With this functionality, all the tasks assigned to you in Teamflect will appear in Microsoft To-Do (or Tasks by Planner and To-Do) under an automatically created task list called "Your Teamflect Tasks".

When you update, delete, or mark a task as completed in Teamflect or in Microsoft To Do, it will be updated in both applications at the same time so that you don't need to update the status or task details in two different places.

When you add a task to the Teamflect list in Microsoft To Do, this task will be synced to Teamflect and assigned to you.

You can also click the Task from To-Do and open the task into Teamflect:

Which information is synced between Teamflect and Microsoft To Do?

  • Task title

  • Task description

  • Name of the task creator

  • Task deadline date

  • Task status

Which information is NOT synced between Teamflect and Microsoft To Do?

Task priority information and task checklist content in Microsoft To Do is NOT synced to Teamflect:

Task type time information (individually assigned, group task), task deadline time, and related group information of a task in Teamflect are NOT synced to Microsoft To Do.

How can I enable/disable the integration between Teamflect and Microsoft To Do?

To check whether this functionality has been enabled for your account, go to User Profile (top-right menu of the app) and click in My Settings:

Under "My Settings", locate the "Sync Teamflect tasks with Microsoft To Do" setting and toggle it ON:

Once you've enabled this, there will be prompt asking permission to reach your Microsoft To-Do data and to create a new list called "Your Teamflect Tasks" within To-Do:

Once accepted, a confirmation message will appear:

When you switch over to your Microsoft To-Do, you will see a new list (Your Teamflect Tasks) and within this list will be all the tasks you've previously created within Teamflect:

Use Case 1: Centralized task tracking

If employees already use Microsoft To Do as their daily planner, enabling the integration ensures that all Teamflect tasks automatically appear there. This helps users manage everything in one place without switching between tools. Any updates or completions made in To Do will instantly reflect in Teamflect, keeping both platforms in sync.

Use Case 2: Managing workload visibility

Managers can encourage team members to sync tasks so that all assigned items from Teamflect are visible alongside their personal To Do lists. This provides a full picture of each employee’s workload, helping them balance priorities and deadlines efficiently.

Use Case 3: Disabling sync for privacy or clarity

If users prefer to keep personal and work-related tasks separate, they can easily disable the integration in their settings. This prevents Teamflect tasks from appearing in Microsoft To Do, allowing them to maintain a focused task view. The toggle gives flexibility for different working preferences.
