What is the difference between individual task and group task?

Understanding Individual vs. Group Tasks

Assign Individually

  • When you assign the task individually, two independent tasks will be created for each person.

  • As the creator of the task, you will be able to comment on each task separately without assignees seeing your comments.

  • This task type can be used in scenarios where you want each employee to complete the same task - such as revising the quarterly forecast.

Assign as a group task

  • When you assign the task as a group task, only one task will be created and the task status will be common for all assignees.

  • Whenever someone marks the task as completed, the task will be completed for all assignees. Comments left to the task will be accessible to all assignees of the tasks.

  • This task type can be a good example for group projects where all members work together to accomplish a common task.

Please keep in mind that you can always edit the tasks later on and change their status from individually assigned to assigned as a group task.

Use Cases:

Use Case 1: Assigning Similar Work to Multiple Team Members

When a manager needs several employees to do the same task (e.g. “prepare monthly report”), they might choose individual tasks so that each person has their own copy with separate progress and comments. In this way, each employee’s completion and feedback is tracked individually without overlap.

Use Case 2: Coordinating a Collaborative Project

If a project requires multiple people to work together (e.g. “launch campaign materials”), the manager can create a group task so there’s only one shared task. All assignees see the same status updates and comments, and when one marks it complete, it’s completed for everyone.

Use Case 3: Switching Assignment Mode Mid-course
