Overview

By default, the reviewer in a review cycle is the employee’s direct manager. As an administrator, you can reassign the reviewer anytime—even after the review has been completed—and choose to keep the responses of the original reviewer.

Step 1: Go to Reviews Module

Find "Modules" on the left navigation bar and click the "Reviews" tab.

Step 2: Find Review Cycles

Click Review Cycles to view all active and past cycles.

Step 2: Locate and Access the Specific Review Cycle

When the page opens, you will see existing review cycles that have been created by you or by other Teamflect administrators.

Find the review cycle that you are interested in and click the "See/update reviews" button.

Step 3: Select the Relevant Review Cycle

  1. Locate the review cycle you want to update.

  2. Click See/update reviews to open the cycle’s details.

Additionally, you can use the search functionality within the Review Cycles page to efficiently find specific employee reviews.

Step 4: Reassign the Reviewer

Special Scenarios:

For Reviews Marked as Private: If the "Disable managers’ access to the private data of their direct reports" setting is enabled and the assigned manager differs, adjust reviewer access as follows:

  1. Navigate to the specific review cycle and locate the employee’s review.

  2. Click the pencil icon, enter the new reviewer's name, select "Keep the current reviewer’s answers," and confirm.

For Finalized Reviews: If a review is finalized, follow these steps to reassign access:

  1. Change the review's status from "Finalized" to "Waiting for Reviewer."

  2. Reassign the reviewer as described earlier, then re-finalize the review while collecting new signatures.

  • Find the reviewer for the specific review and click the pencil icon next to their name

  • Enter the new reviewer’s name in the dialog, select them, and click Change.

If the initial reviewer has already responded, you can opt to retain those answers by checking the corresponding box before confirming the change:

Use Cases

  • Privacy Settings: Ensure data accessibility for new managers in cases where reviews are marked as private.

  • Finalized Reviews: Navigate review reassignment complexities while preserving data integrity and ensuring compliance.

  • Manager Changes: If the reviewee’s manager changes mid-cycle, easily assign the new manager as reviewer without losing work.

  • Rebalancing Workload: Reassign reviews when workload shifts require another manager to step in—smooth and seamless.

  • Quality Control: Reassign to an HR lead or second-level manager for audit-quality assurance.

  • Absence Coverage: If the original reviewer is unavailable (e.g., leave), assign a backup reviewer quickly.

Best Practice

When preserving signatures for managerial changes, consider exporting the review as a PDF:

  1. Open the finalized review, select "Print," and choose "Save as PDF."

  2. Attach the PDF to the employee profile for consistent access without altering the review’s final state.

Tip: When reassigning a reviewer after a review has started, always communicate with both parties—the new reviewer needs context, and the old reviewer should know whether their input will be retained. This helps prevent confusion and maintains transparency.
