Key Survey Settings
The settings in a survey template determine who can create the survey, who can see the responses, and whether respondents can be identified.
Allow managers to initiate surveys
Enabled: Managers can use this survey template to create and send surveys to their direct reports.
Disabled: Only admins can initiate surveys using this template. Managers will not be able to select it when creating a new survey.
Anonymity & Response Visibility
Anonymous: Responses are anonymous. Respondents' identities are not shown in the survey results.
Identified: Responses are associated with the respondent, so the people with access to the results can see who submitted each response.
Select Anonymous when you want employees to give more candid feedback, such as in an engagement or manager feedback survey. Pick Identified to disable the anoymous survey option when you need to follow up with individual respondents.
Response visibility
This setting controls who can access the survey results.
Teamflect Admins only: Only Teamflect administrators can view the results.
Managers of survey respondents: Managers can also view results from their employees, in addition to admins.
Choose Admins only when survey results should remain with HR or administrators. Choose Managers of survey respondents when managers need the results to understand and act on feedback from their teams
Minimum reporting group
This setting adds an extra privacy safeguard for anonymous surveys.
Enable: Set the minimum number of responses required before results are shown.
Disable: Results can be shown without requiring a minimum number of responses.
For example, if the minimum reporting group is 5, results remain hidden until at least five responses have been submitted. This helps prevent a small group of respondents from being identified.
Notifications
Use the notification settings to control who is notified when a survey is completed.
Notifications can be enabled for the people who have access to the survey results.
If notifications are disabled, the survey can still collect responses, but the selected users will not receive a completion notification.
Choose the notification option that matches who is responsible for reviewing and acting on the results.
Don’t send: No notification is sent when a survey is completed.
Sent to survey respondent’s manager: The respondent’s manager is notified when the survey is completed.
Sent to Teamflect administration: Teamflect administrators are notified when the survey is completed.
Send both to manager and administration: Both the respondent’s manager and Teamflect administrators are notified when the survey is completed.
Use Case
Suppose HR wants to run an anonymous employee engagement survey and allow managers to see the results for their teams.
HR can configure the template to:
Allow managers to initiate the survey.
Turn Anonymous ON.
Allow Managers of survey respondents to view results.
Set a minimum reporting group of 5.
Managers can then send the survey to their teams and review the results, while individual responses remain anonymous and results are hidden until at least five responses are collected.
