Overview
If your organization is moving to a new Microsoft 365 tenant, you may need to migrate your Teamflect data (Review, Goals, Tasks, Recognitions, etc) to ensure your historical records remain available. This guide explains when tenant migration is required, what information you need to provide, how the process works, and what to expect.
What happens during the migration process?
The process generally follows these steps:
Contact Teamflect Support. Explain whether you're moving to a new tenant, changing your domain, transferring your subscription, or requesting both data migration and subscription transfer.
Confirm the scope and cost. Our team will review your requirements and explain the applicable fees and next steps.
Complete the migration template. Provide accurate information mapping users from the old tenant to the new tenant.
Confirm the arrangements. The migration can proceed once the required payment and information have been confirmed.
Validate the migrated data. Once the migration is complete, Teamflect will guide you through the validation process.
Confirm completion. After validating access and the migrated data, confirm with Teamflect Support that everything looks correct.

Tenant Migration: Frequently Asked Questions
1. What is a tenant migration?
A tenant migration involves transferring your existing Teamflect data from one Microsoft 365 tenant to another.
When your organization moves to a new Microsoft tenant, users receive new user IDs. Because Teamflect data is associated with these user IDs, historical data does not automatically transfer to the new tenant.
If you want to retain your existing Teamflect data, a manual migration is required to map users in your old tenant to their corresponding accounts in the new tenant.
2. When do I need a tenant migration?
You will need a tenant migration if:
Your organization is moving from one Microsoft 365 tenant to a completely new tenant.
Your users will have new Microsoft Entra ID user IDs.
You want to retain historical Teamflect data associated with your existing users.
3. When is a tenant migration not required?
A tenant migration is generally not required if your organization is only changing its domain name while remaining in the same Microsoft 365 tenant.
In this case, your organization is not moving to a separate tenant, so the tenant migration process described in this article does not apply.
đ¨Important: If you're unsure whether your organization is changing domains or moving to a new tenant, contact our Support team before making changes. Confirming this distinction helps determine the appropriate next steps.
4. Can I migrate my Teamflect data and transfer my subscription at the same time?
Yes. However, data migration and subscription transfer are separate processes, and the steps required depend on what your organization needs. There are two common scenarios:
Scenario 1: You want to migrate your Teamflect data and transfer your subscription
If you're moving to a new Microsoft tenant and want to retain your historical Teamflect data, you'll need to arrange a tenant migration.
Contact Teamflect Support to discuss your migration requirements, the subscription transfer, the applicable fees, and the information needed to proceed.
Scenario 2: You only want to transfer your subscription to a new tenant
If you don't need to migrate your historical Teamflect data and only want to transfer your subscription, a full data migration may not be necessary.
Contact Teamflect Support and so we can guide you through the appropriate process.
5. Will There Be Any Costs for Tenant Migration?
Tenant migration is a manual process that requires user mapping and coordination to ensure the data is transferred to the appropriate accounts.
A migration fee applies, and the final cost should be confirmed with Teamflect Support before proceeding.
To receive pricing information, contact our Support team and provide details about your current tenant, your new tenant, and whether you need a data migration, a subscription transfer, or both.
6. What information do I need to provide to Teamflect?
You may be asked to provide the following information, depending on your migration requirements:
Current and new tenant details
Migration requirements: Whether you need data migration, subscription transfer, or both.
User mapping information: A completed migration template containing each user's email address, User Principal Name (UPN), and user ID from both tenants.
Contact Teamflect Support to discuss your requirements and confirm which information you'll need to provide.
7. What are User Principal Names (UPNs) and user IDs, and where can I find them?
When completing the migration template, you'll need to identify users in both your old and new Microsoft tenants. The two key fields are:
Field | Description |
User Principal Name (UPN) | The user's sign-in identifier in Microsoft Entra ID. This is commonly formatted like an email address, such as |
Object ID / User ID | The unique identifier assigned to the user in Microsoft Entra ID. This identifies the account and is different from the user's name or email address. |
How to find these details:
Open the Microsoft Entra admin center.
Go to Users and select All users.
Search for the user and open their profile.
In the Overview section, locate and copy the User principal name and Object ID.
đNote: Enter the values exactly as they appear in Microsoft Entra ID. Do not use a user's first or last name in place of their UPN or Object ID.
8. How long does a tenant migration take?
A tenant migration typically takes 1â2 weeks, depending on the volume of data and the complexity of the migration. The timeline may also depend on when the required information is provided and when the migration can begin.
Our Support team can help clarify the expected timeline for your specific request.
âImportant: Tenant migration is a manual process and is not automatic or instantaneous. Please contact Teamflect Support before proceeding with your tenant change if you want to retain your historical Teamflect data.
