How To Create and Use Preset Goal Templates

Use preset goal templates to create consistent, ready-to-use goals without starting from scratch.

Preset Goal Templates in Teamflect help you quickly create structured, well‑defined goals by starting from pre‑built examples instead of a blank form. They provide recommended titles, measurement logic, timelines, and optional locked fields, making it easier to roll out goals consistently across teams—especially when setting up goal management for the first time.

Once enabled by an admin, users can select a template from the Goal Library and create a new goal that follows a proven structure while still allowing flexibility where needed.

Admin Setup

1. Enable Preset Goal Templates & Configure Access

Before users can create goals from templates, admins must enable Goal Templates in the Admin Center and define who is allowed to use them.

Step 1: Open Goal Template Settings

  1. Go to the Admin Center: https://admin.teamflect.com/

  2. Navigate to Goals.

  3. Select Goal templates.

Step 2: Enable Goal Templates

Turn on Enable goal templates toggle. When this setting is enabled:

  • The New Goal from Template option becomes available in the Goals module.

  • Users can start creating goals from templates (based on the permissions you define).

2. Define Who Can Create Goals from Templates

Under Who can create a goal from a template, choose which users are allowed to use templates:

  • Everyone – All users can create goals from templates.

  • Managers and Admins - Restrict template usage to specific roles, such as managers or admins.

  • Admins only - Recommended for testing purposes.

Managers and Admins' Visibility Explained

Enable the setting for managers and admins if you want to control access during the initial rollout. This ensures that:

  • Individual contributors do not see goal templates.

  • Templates are introduced gradually through managers and admins.

3. Manage Goal Template Categories

Admins can also organize goal templates by category to make the Goal Template Library easier to navigate, especially as the number of templates grows.

The Manage goal template categories option is located at the bottom left of the Goal Templates interface.

How to Manage Goal Template Categories

  1. Open the Goals module in Teams or on your preferred web browser: https://app.teamflect.com/#/me/goals

  2. Click New Goals > New Goal from Template.

  3. Select the Manage goal template categories from the bottom left corner.

From here, admins can:

  • Create new template categories

  • Edit existing category names

  • Drag and drop to change order

  • Delete categories that are no longer needed

Categories help group templates by purpose, such as OKRs, development goals, or departmental goals.

⚠️ Note: Templates without a selected category are automatically grouped under No category.


End-User Interface

1. What Are Preset Goal Templates?

Preset Goal Templates are reusable goal structures that define:

  • Goal title and description

  • Goal type (for example, company, team, or individual)

  • Measurement and progress logic

  • Optional dates or periods

  • Optional locked fields that cannot be edited by end users

Templates act as starting points, helping users create goals faster while maintaining consistency across the organization.


2. Who Can Create and Manage Templates?

  • Global Admins can always create, edit, and manage goal templates.

  • Scoped Admins can create and manage templates only if the Can change organization settings permission is enabled.

  • End users (individual contributors or managers) cannot create or edit templates.


3. How to Create a Goal from a Template

  1. Open the Goals module.

  2. Click New goal.

  3. Select New goal from template.

  4. Review the goal template categories listed on the left.

  5. Select a category and a template.

  6. Click Use template.

  7. Review the pre-filled fields in the New goal editor modal.

  8. Complete or adjust any editable fields.

  9. Click Create goal


Important Notes

1. Locked Fields and Editing Rules

Template creators can lock specific fields to ensure consistency.

When a field is locked:

  • It appears disabled for users creating the goal.

  • It cannot be edited or overridden.

  • Hovering over the field shows this message:
    “This field is locked by the template creator and can’t be edited.”

Commonly locked fields include:

  • Goal type

  • Measurement type

  • Dates or period

  • Description (if required)

  • Labels

  • Related group (if enabled)


2. Date and Period Behavior in Templates

  • Start and end dates are optional in templates.

  • If no date is selected, the date field remains editable and cannot be locked.

  • If a date is selected:

    • It can be locked by the template creator.

    • Users cannot change it when creating a goal.


3. Measurement Types and Fallback Logic

Templates use the same measurement logic as the standard goal creation experience. If a measurement type used in a template is later disabled at the tenant level in the admin center:

  • The system automatically selects the first available measurement type.

  • The measurement field is never left empty.

This prevents broken or incomplete goals created from outdated templates.


Use Cases

1. Greenfield Goal or OKR Rollouts: HR teams launching goal management for the first time can use templates to provide structure and examples without designing everything from scratch.

2. Consistent Development Goals: Create templates for development or career goals to ensure employees set goals aligned with company expectations.

3. Faster Manager Adoption: Managers can create goals quickly using templates, reducing friction and improving adoption during rollout phases.


Best Practices

Use preset goal templates when:

  • You are rolling out goals or OKRs for the first time.

  • You want consistent goal structure across teams.

  • You want to reduce setup time for managers and employees.

Avoid relying solely on templates when:

  • Teams require highly customized or one-off goal structures.

  • Goal requirements change frequently without a standard pattern.

Tip: Start with a small set of templates and expand your library as usage patterns become clear.
